Artificial intelligence is already part of the everyday work of many organizations, while internal rules governing its use are still being developed. This raises a number of practical questions: Which AI tools may be used? What data needs to be protected? How should AI outputs be verified? Who is accountable? And when should audiences be informed that AI was involved in creating content?

To help organizations address these questions, AImpactful has developed the AI Governance Builder, a free online tool for creating practical rules for the ethical, responsible and transparent use of artificial intelligence.

The tool is primarily designed for newsrooms, media organizations and NGOs that want to turn the ethical, responsible and transparent use of AI into concrete policies, guidelines and procedures, without having to prepare every document from scratch.

The AI Governance Builder guides users through a series of questions about data protection, permitted uses of AI, output verification, staff responsibilities, content labelling, risk management, and procedures for responding to errors or incidents.

Based on their answers, the tool prepares draft documents tailored to the needs and working methods of each organization. These include:

  • a public policy on the use of artificial intelligence;
  • a short public statement explaining how the organization uses AI;
  • internal guidelines for staff;
  • a list of approved AI tools;
  • an editorial content verification checklist;
  • an overview of roles and responsibilities;
  • templates for informing audiences and labelling content;
  • a staff training plan;
  • a register of risks, errors and incidents;
  • a plan for implementing and further improving the rules.
